Visitor Passes
Visitor Passes are necessary to enter campus during the school day.
*Parental visits on campus during arrival
time is generally not the best time. Teachers are
supervising students, staff members are on duty and instruction
begins promptly at 8:00 a.m. Parents are highly encouraged
to schedule an advanced appointment with a teacher or
administrator. By teacher contract, all classroom visits
must be scheduled with the teacher 24 hours in advance and
visits are limited to 30 minutes. If visiting the campus,
parents will be asked to bring a driver's license to receive a
visitor's pass.
Transportation Changes
Any change in transportation must be in writing and given to the teacher.*Exception,
bus changes can only be approved by school administration or
the PCSB transportation department.
Morning and Afternoon Procedures:
Arrival/Tardy
Policies
Students may arrive beginning at 7:30 a.m.
and will either be instructed to go to class or to breakfast.
Students are considered tardy at 8:00 a.m. Students must
be in their classroom by 8:00 a.m. to not be considered as
tardy. If a student arrives after the tardy bell, a
parent must come into the office and sign-in the student with an
excuse. The office staff will determine whether the reason
for the tardy is excused or unexcused. According to the
Polk County Schools Code of Conduct, five unexcused
tardies will result in one unexcused absence.
Supervision
School campus supervision by staff begins
at 7:30 a.m. (Students should not be dropped off before
7:30 a.m. because campus supervision does not start until 7:30
a.m. each day.)
Staff supervision ends at 3:15 p.m.
All students should be off campus by that time unless they are
under the supervision of a planned after school program or
because a bus is late arriving to school to pick-up students.
Breakfast
Breakfast is available from 7:30 - 7:55
a.m. The cafeteria doors will close at 7:50 a.m. to ensure
that students will have enough time to eat and get to class
before the 8:00 tardy bell. Students who ride a bus that
is late will still be allowed to eat breakfast
even after the tardy bell rings.
Walkers and Bike
Riders Arrival
7:30 – 8:00 – Walk down the sidewalk and enter through the
gate between the media center and the
office. They then proceed along the interior sidewalk around the courtyard to the cafeteria for breakfast or to class. All students can walk to class safely in our courtyard. If a parent wishes to enter campus for any reason they must first come through the office for a visitors pass. Any changes must be requested in writing & sent to the teacher.
Walkers/YMCA/Bike Riders Dismissal
Walkers, YMCA day care walkers and bike
riders will be dismissed from the classroom at 2:15 p.m. and
will line up at the gate by the Kindergarten playground.
At 2:25 p.m. a staff member will walk the children (Not
YMCA) around the sidewalk to Sleepy Hill Road. YMCA
walkers will be greeted at the playground at 2:15 p.m. by
YMCA staff members and will be escorted to the YMCA facility
using the sidewalk to Sleepy Hill Road.
Car & Day Care Van
Riders Arrival
Car Riders and Daycare Van riders should
be dropped off using the car loop located by the cafeteria
between 7:30 - 7:55 a.m. Staff members will assist
students on the right side of the vehicle and will direct
students to the cafeteria for breakfast or to class using
the gate by the picnic tables. Parents should stay in
the vehicle and try to exit as quickly and safely as
possible. The car ramp will be closed at 7:55 a.m.
Car riders arriving after 7:55 a.m. will be asked to come to
the office escorted by a parent to sign in.
Car Rider and Day Care
Van Riders Dismissal
Students will be dismissed and escorted
to the cafeteria by a staff member. Students sit by
grade level and listen quietly for their number to be
called (student numbers match parent car tag hanger).
Once the number is called, students will proceed outside to
the car ramp and will be assisted by a staff member to their
vehicle. Students will enter the right side of the
vehicle in a safe and orderly way. Parents should
always keep the car tag hanging on the rear view mirror.
If parents arrive without a car tag, they will be asked to
exit the line and go to the office to pick-up their child(ren).
In this case, parents will be asked to show a picture I.D.
and must be on the child's emergency card to pick-up the
child(ren). The car line will run more smoothly and
efficiently if children are encouraged to learn and listen
for their number to be called. Please understand that
SHES has over 400 car riders. After the first week of
school, the car line generally can be emptied within 30
minutes. Once the beginning of the year procedure is
refined, the car line is open from 2:15 - 2:45 p.m.
Bus Arrival
Busses arrive according to the bus route
schedule determined by the district's transportation office.
Busses arrive through the bus entrance and are unloaded at
the bus ramp located by the media center. By safety
regulations, other vehicles are not allowed to operate in
the same location when busses are entering and students are
unloading. Students will receive a colored bus band
that is attached to their backpack or wrist to help them
easily identify their bus. Bus routes and/or color
code information is available in the office.
Bus Dismissal
Students will be called to the bus ramp
by bus color when the bus arrives. Bus delays can be viewed
on the Polk County Website.
Kidcare Arrival
Students involved in the KidCare program
will enter through the main gate and proceed to designated
classroom. The Kidcare staff is responsible for the
supervision of students until 7:30 a.m.
Kidcare Dismissal
Students in Kid Care are released to go
the KidCare classroom at 2:15. Students will be under the
supervision of the KidCare Staff.
Phone Call Changes
We cannot make changes for dismissals by phone for security & safety reasons. We have no way to identify the person requesting the changes. We cannot allow an unauthorized person to make changes that affect your child and their safety.
Early Check-Out
If you must check out a student before school is out please do so before 2:00. All of our staff & communications are in use to ensure prompt & safe dismissals from 2:00 – 3:00 so we cannot call individual students during that time.
Emergency Cards
Every child has to have an emergency card completed and turned into the office. The cards should be completely filled out & include reliable telephone numbers and the names of anyone that will be allowed to pick up your child. They were sent home the first day of school but if you did not get one, please send a note to the teacher requesting one.
Connect-ED
Connect-ED is a parent communication system that will provide the school with the means to contact every household with important school news or emergency information within minutes. In order for it to work we must always have your updated contact information. The system will call cell phones as well as land lines. If you are not home it will leave the message on your answering machine. The system will keep you updated on school events. Also, after the district experienced the lock down at one high school last year the lesson learned was we need a quick, reliable way to contact parents. We are very fortunate to have Connect-ED but it is only as good as your most recent phone number. Please let us know immediately if your numbers change.
Rainy Day Dismissal
In the event of rain, more parents will be in cars to pick up their children so be prepared for a slower dismissal & longer wait. This unfortunately cannot be avoided. Please stay in your car & go through the line & it will make dismissal move faster.
Note:
These Policies and Procedures are subject to change to ensure safety & efficiency.
